- Announcer: Call swimmers to the Ready Bench and Blocks so the Head Clerk of Course and Ready Bench Helpers can place swimmers in their lanes. Arrange for adequate communication with the Ready Bench area for next event to be ready. Announcer may set up next to the Ready Bench area. A PA system and/or numbers system can indicate the event up and those at Ready Bench.
- Starter: Start each heat with a starting device such as a horn, whistle or starting system.
- “Timers ready?” (Timers raise watches to signal okay).
- Announce event; Example: “This is 6 and Under 25 yard freestyle, one length of the pool”
- “Swimmers, step up” or “Swimmers, step in” (for events 31-42 and 65-74)
- “Swimmers take your mark” – activate starting device (whistle, horn, or system). In the event of false start (swimmer leaves block before sound), activate continuous sound or starting device; return to blocks and restart.
- Optional: During the swim you may announce upcoming events and Ready Bench notifications (if time permits).
- Once ALL swimmers have finished the race, announce “Good Job Swimmers! Swimmers step out.”
- Timer: There will be 2 timers in each lane – preferably one from each team. One will have a clipboard and a pencil to write on the cards. Timers start their watches upon the starting signal and stop their watches as the swimmer touches the wall. Timers include BOTH times on the card. After the race, wait for runner to get the cards to the computer person. Home team supplies the clipboards and pencils. Each team brings their own watches.
- Head Clerk of Course: This is the person that hands out the cards to the kids and places them in their heats. This person will attend the Scratch Meeting and remove scratched swimmers and enter any additional swimmers. The Ready Bench Helpers will crowd control the children. All cards will be ready to go with the heats and lanes on them prior to the meet. Any add-ons will be put in the first heat and cards will be pulled for the scratches
- Ready Bench Helpers: These people are helping the Head Clerk of Course at the Ready Bench area. While the Head Clerk is passing out the cards, you will be seating kids, helping locate swimmers and crowd control. Have more that 2 from each team at the beginning and end, especially for the relays. You will be escorting the kids to the end of the pool and keeping them in order.
- Computer Person: You need to KNOW the computer program Meet Manager to run the meet. FCSSL uses Hy-Tek Team Manager and Meet Manager and will provide training at the beginning of each season.
- Runners: These people gather the cards after each heat and take them to the computer for input. One runner can gather the cards and another runner can take them to the computer.
- Set-Up Crew: Volunteers set up the Home Meet before the visiting team arrives so areas are defined for visitors, home team and ready bench.
- Stroke & Turn Judge: Watch for stroke infractions and note the infraction on the swimmers card.
